Job Summary
Assist with the daily administrative operations of a busy financial planning practice, including but not limited to client correspondence and servicing, record keeping maintenance, and managing compliance requirements.
Responsibilities
Answer incoming phone calls
Maintain CRM database
Coordinate the scheduling of client meetings
Manage client reports and meeting materials
Compose and prepare outgoing correspondence
Manage practice marketing materials and supplies (brochures, business cards, etc.)
Handle standard compliance requests (ex. monthly statement downloads)
Prioritize and respond to client account service requests
Complete and follow up on account applications, transfer forms, etc.
Navigate within account systems to execute and monitor transactions and services
Act as a liaison between clients, advisors and mutual fund companies
Perform and organize data entry using Microsoft applications
Maintain and organize hard copy and electronic filing systems
Provide support to receptionist as necessary
Requirements
Profcient in MS Word and Excel
Client focused
Superior customer service skills
Minimum two to five years administrative experience working in an office environment
Associate’s degree helpful, but not required
Industry background preferred, but not required.
